Team Feline GDPR Policy
WHAT WE NEED
Patricia Hagenbuch, as owner of Team Feline West Lothian Cat Sitting Service, will be what is known as the ‘Controller’ of personal data provided to Team Feline West Lothian.
Clare Smith, as owner of Team Feline Glasgow West Cat Sitting Service, will be the ‘Controller’ of personal data provided to Team Feline Glasgow West.
We will not collect any additional personal data about you, other than that which you provide us with, in order that we may provide the services you request. The information you will be asked to provide includes: your name, address, phone number, email contact, emergency contact, pet details, vet details, details / codes for home security systems and alarms and the dates for which you require our services.
WHY WE NEED IT
We need to know the basic personal data above, in order to provide you with the pet sitting services you have engaged us to provide. If you do not provide this information, we will be unable to provide our services for your pet. We will not collect any personal data that is not pertinent to the care of your animal during the visits that we provide.
WHAT WE WILL DO WITH IT
All of the paperwork that you initially complete when first booking our services, is filed securely as a paper copy in the Team Feline home office, to which only the named Controllers above, have access. Your data will be processed securely on our personal computers, to create abbreviated cat information sheets, for use during our home visits. These information sheets are stored on our personal hard drives, and not in any clouds or elsewhere online.
Aside from the Controllers, the only other people who will have access to your personal data as provided above, will be our Assistant Cat Sitters, who will be given such data on an as-needed basis, each time they will be providing a service for your pet.
When we are providing our services, we will carry a copy of your abbreviated pet information, which will be kept securely on our person at all times, except when we are in your home and are using the information to provide the service you have booked.
Your information will never be shared with any 3rd parties or other external companies, with the exception of your vet / a vet nominated by ourselves, in the event that your pet required emergency care whilst we were providing our service.
HOW LONG WE WILL KEEP IT
We will generally keep your data for 5 years following your final booking with us, after which time paper copies will be destroyed manually by shredder and electronic copies will be permanently deleted from our harddrive. Data is retained for this period, in line with HMRC laws concerning the keeping of tax / business records for 5 years after the end of the tax year.
RIGHT TO BE FORGOTTEN
You have the right to request that your personal data be deleted from our paper and hard drive files. If you wish to remove your data from our sytems, please contact us. Please note, once your data has been removed, we will no longer be able to provide pet sitting services for your household.
WHAT WE WOULD ALSO LIKE TO DO WITH IT
We normally send 3 – 4 newsletters per year to our clients, to keep them informed.
These are normally sent by email and are for information only and may include details of: booking availability, holiday dates / closures, staff changes, price changes, updates to our website / services etc. These newsletters can also be provided as a paper copy, for those of you who do not use email.
We will never send you any marketing links or spam.
